What It Really Takes to Prepare for Ethereal Summer Market

A Behind-the-Scenes Look from the Coordinator's Perspective

When people arrive at Ethereal Summer Market, they see beautifully decorated vendor booths, smiling faces, handcrafted products, and a welcoming atmosphere filled with creativity. What they don't see are the weeks of planning, organization, and problem-solving that happen long before the doors ever open.

As the founder and coordinator of Ethereal Markets, I often wear more hats than I can count. While I'm also preparing my own business, Ethereal Elements CT LLC, for the event, my priority is making sure every vendor has the opportunity to have a successful and enjoyable experience. If the vendors are successful, the market is successful.

Many people assume an event comes together in just a few days, but the truth is that preparation begins weeks—sometimes months—in advance.

Building the Market

Long before vendors begin unloading their vehicles, applications are reviewed, categories are balanced, and the venue layout is carefully designed. I work to create a market with a variety of artisans, makers, and small businesses so shoppers have a diverse and exciting experience.

Every decision matters. Too many vendors selling similar products can hurt everyone's sales, while a well-balanced market encourages customers to explore every aisle and discover something new.

Behind the Scenes

As the event gets closer, the to-do list seems to grow instead of shrink.

There are vendor emails to answer, invoices to track, marketing to coordinate, floor plans to revise, social media posts to schedule, signs to print, vendor packets to prepare, and supplies to organize. Small details that most visitors never notice are often the very things that make an event run smoothly.

Every table assignment, directional sign, parking instruction, and check-in sheet is carefully planned so vendors can focus on what they do best—sharing their craft.

Wearing Two Hats

One of the unique challenges of coordinating Ethereal Summer Market is that I'm also one of the vendors.

While organizing the event, I'm simultaneously creating inventory for Ethereal Elements CT LLC, photographing new products, updating my website, writing product descriptions, designing displays, packing inventory, and making sure my own booth is ready for the day.

It's certainly busy, but it also gives me a unique perspective. I understand the excitement, stress, and preparation that every vendor experiences because I'm right there beside them.

Supporting Small Businesses

One of my favorite parts of organizing these markets is welcoming first-time vendors.

Starting a business can feel overwhelming, and many new entrepreneurs don't know what to expect from their first event. I remember what it was like to be new, learning through trial and error, making mistakes, and figuring things out as I went.

That's one of the reasons I created Ethereal Markets.

I don't believe an event should simply rent a table and wish vendors luck. I believe event coordinators should be a resource, someone vendors can ask questions, learn from, and trust. Whether someone is attending their very first market or their fiftieth, I want every vendor to feel supported before, during, and after the event.

How to Prepare for a Vendor Show

Whether you're attending Ethereal Summer Market or another event, a little preparation can make a big difference.

Before the Event

  • Read all event information carefully.
  • Confirm your arrival and setup time.
  • Test your payment system.
  • Price every item clearly.
  • Organize inventory before packing.
  • Create a checklist so nothing gets forgotten.

What to Pack

  • Table coverings/ decor/ extra tables
  • Product displays
  • Signage
  • Business cards
  • QR codes and payment devices
  • Shopping bags/ packing boxes/ gift bags
  • Cash for change/ Receipts
  • Water and snacks
  • Tape, scissors, pens, zip ties, and other basic supplies
  • Your inventory- always bring more than less
  • Extra product tags
  • Portfolios of other work or custom work
  • Order forms
  • Chargers/ Extension Cords/ Generator/ back up chargers
  • Hot Spot device if Wifi isn't present
  • Vendor Information/ Application/ Acceptance letter/ table assignment

Booth Tips

  • Display products at different heights to create visual interest.
  • Keep your booth clean and inviting throughout the day.
  • Greet customers warmly without being pushy.
  • Tell the story behind your products—people love meeting the maker.
  • Don't be discouraged if every visitor doesn't buy. Every conversation is an opportunity to build your brand.
  • Stay in your assigned space
  • Don't infringe on your neighbors
  • Signage must fit in your space & can't block walkways/ entrances
  • Product Signs & Pricing should be clearly marked & esthetically pleasing 

More Than Just a Market

For me, Ethereal Summer Market is about more than filling a room with vendors. It's about creating a welcoming community where shoppers can discover talented local businesses and vendors can grow with confidence.

Every market teaches me something new, and every event is an opportunity to improve. My hope is that when visitors walk through the doors, they don't just leave with something beautiful—they leave having met the people behind the products and experienced the passion that goes into every handcrafted item.
