Final Preparations for the Ethereal Summer Market

The Countdown Is On!

After months of planning, organizing, designing, and coordinating, the Ethereal Summer Market is almost here! In just a few short days, our vendors, volunteers, and community will come together for a day filled with creativity, connection, and supporting incredible small businesses.

As the event organizer, this final week is one of the busiest—and one of my favorites. While everyone sees the beautiful market on event day, there's an incredible amount of work happening behind the scenes to make it all come together.

Finalizing My Own Booth

Before I can wear my "Market Coordinator" hat, I also have to prepare as a vendor.

At Ethereal Elements, my workshop has been filled with candle wax, crystals, jewelry findings, labels, and inventory sheets as I complete my newest collections.

This week has been dedicated to:

• Hand-pouring my Gothic Succulent Garden Soy Candles

• Creating new Energy & Aromatherapy Bracelets

• Making final jewelry pieces

• Applying product labels

• Pricing every item

• Printing product information cards

• Photographing new inventory

• Updating Shopify inventory

• Creating barcodes and SKUs

• Packing products safely for transport

• Organizing displays for quick setup

• Double-checking inventory counts

Every item is inspected one last time before it's carefully packed into labeled totes, ready for market day.

Preparing the Booth

Having beautiful products is only part of creating a successful event experience.

I'm carefully planning every detail of my booth to make shopping enjoyable and welcoming for every customer.

This includes:

• Cleaning displays

• Packing shelving and risers

• Organizing crystals

• Preparing jewelry displays

• Testing lighting

• Printing signage

• Preparing table numbers

• Organizing checkout supplies

• Testing the credit card system

• Printing QR codes

• Restocking business cards

Everything has a designated place so setup runs smoothly on event morning.

Supporting Our Vendors

One of the biggest goals of Ethereal Markets is helping vendors succeed.

During the final week I'm:

• Reviewing vendor applications

• Confirming payments

• Sending final vendor instructions

• Assigning booth spaces

• Finalizing the vendor directory

• Answering last-minute questions

• Reviewing required documentation

• Confirming emergency contact forms

• Preparing vendor packets

• Organizing check-in materials

I want every vendor to arrive feeling confident and prepared.

Training Our Volunteers

Our volunteers play a huge role in making the market successful.

Before the event we review:

Before loading everything into the vehicle, I run through one final checklist.

A little extra preparation now means less stress on event day.
